For all meetings leaders must follow GSUSA adult-to-girl rations. These ratios show the minimum number of adults needed to supervise a specific number of girls. (GSWW may also establish maximums due to size or cost restrictions.) These supervision ratios were devised to ensure the safety and health of girls—for example, if one adult has to respond to an emergency, a second adult is always on hand for the rest of the girls.

For every meeting or activity, make sure you are following the Girl Scout Safey Checkpoints.

Forms
Girl Permissions & Health History - one for each girl. This is the form that each parent completes and signs at the beginning of each year and you as troop leader take it everywhere you go with your troop. Only section 1 and 2 are needed for meetings. Sections 3-4 are for extended travel. This form that contains important medical and emergency contact information for each girl. Make sure you have these forms at every meeting.
Service Unit Expense Reimbursement Form
Trips
Before you go on any trip (camping or otherwise), you need to fill out a Travel Application for Short Trips Form (TAST) and get it approved by the Service Unit Manager.
Insurance
Attached is a document that is evidence only COI, which some meeting or event spaces may require. If a space requires their name be added to the COI then they’d need to complete a COI Request form and send it to our [email protected]. It can be found in the Insurance 101 document.
